Exhibit booth pricing and details

  • Standard in-line space is $35.00 per square foot plus a $300 premium, per corner. A 10 x 10 inline booth is $3,500.
  • Island space is a flat rate of $40.00 per square foot. A 20 x 20 island is $16,000.
  • Non-commercial booths are a flat rate of $550 per 10 x 10.

Carpet forced at 3 p.m. if it has not been noted that the exhibitor is providing. Crates will need to be labeled and removed by EOD to facilitate carpet install.

Saturday, July 19
Exhibit hall open noon – 4 p.m.
Unopposed exhibits noon – 2 p.m.

Sunday, July 20
Exhibit hall open 10 a.m. – 4 p.m.
Unopposed exhibits 11 a.m. – 1 p.m. and 3 – 4 p.m.

Monday, July 21
Exhibit hall open 9 a.m. – 3 p.m.
Unopposed exhibits noon – 1 p.m.
Exhibitor move out 3:01 – 6 p.m.
Exhibitors may not begin tearing down booths until Monday, July 21, at 3:01 p.m. Violators will be barred from exhibiting at future events.

Tuesday, July 22
Exhibitor move out 8 a.m. – noon
All exhibitors/vendors must check in before 10 a.m. with their BOL, otherwise shipment will be forced. All materials must be removed by noon.

Payment schedule and cancellation policy

A 50% deposit is due within 10 days of booth reservation. The full balance must be paid by June 2, 2025. Reservations must be canceled by May 19, 2025 to receive a 50% refund.

Exhibit rules & regulations

Rules and regulations are agreed to during booth reservations as part of the space contract. They will be strictly enforced by our floor managers at show time. For questions, contact exhibitsatavma [dot] org (exhibits[at]avma[dot]org).

Exhibitor services

The GES exhibitor kit includes general event information, the official contractor list, shipping and handling instructions, rental display options, labor services, and order forms for every service available to exhibitors. There are multiple important deadlines and discounts, so be sure to review the exhibitor kit in detail.

Exhibitor badges

  • Commercial exhibitors: Four (4) exhibitor badges per 100 sq. ft. of exhibit space (includes CE credit)
  • Non-commercial exhibitors: Two (2) exhibitor badges per 100 sq. ft. of exhibit space (access to exhibit hall only)

Additional full exhibitor badges (which include CE credit) can be purchased for $420. Additional exhibitor guest badges (access to exhibit hall only) can be purchased for $105.

Booking your hotel

Hotel blocks are now open. Sign in to the Exhibitor Service Center to book your hotel. Please be mindful of potential scams from outside companies offering hotel rooms. You should only book through the official AVMA housing site.

Marketing and sponsorship opportunities

Pre-convention registration list

To receive the pre-event attendee registration list, commercial exhibitors must submit their request by June 3, 2025, along with the marketing mailer piece they intend to mail to attendees. The list includes attendees who have opted in to receive messages from exhibitors, and does not reflect the full attendee list. The list will be sent out to those who have submitted marketing material the week of June 10, 2025.

No list requests will be accepted after June 3, 2025.

Note: AVMA mailing lists are provided for one-time use only and are only valid for pre-show marketing. Persons and companies placing orders for mailing lists must sign an AVMA mailing list agreement. Shipping exhibit materials

Exhibitors will be able to ship their materials to the convention hall's advanced warehouse beginning Wednesday, June 13, 2025. This is the recommended way to ship materials, as GES will place your materials in your assigned space before you arrive.

Shipping labels are available on the GES exhibitor kit.

Booth security

From the first day of move-in until the last day of move-out, there will be 24-hour perimeter badge-checkers for the exhibit floor. This level of security is intended to control the access of people and material to and from the exhibit hall in a safe and organized manner. It is not intended as individual security for your booth and materials.

Please remember that the Walter E. Washington Convention Center is a public building to which hundreds of people have access. There are also many people involved in the shipping of your materials, and installation and dismantling of displays. Be security conscious at all times. Do not leave items of value in your booth overnight, during the installation period, or on exhibit days without taking security precautions.

We highly recommend that once the exhibit hall closes at 3:01 p.m. on Monday, July 21, you pack up and secure all signs, extra giveaways, and other booth materials immediately. Booth materials that are left unsecured at the end of the show have a higher risk of being damaged or stolen during exhibit hall teardown Monday afternoon.

Exhibitors can order overnight booth security from the security vendor. Remember that the security of your product is your responsibility—don't take chances!

Insuring exhibit materials

It is the responsibility of the exhibitor to insure their property. Exhibitors are required to provide their own floater insurance coverage protecting against damage, loss, or theft. The American Veterinary Medical Association, their agents, the Walter E. Washington Convention Center, GES, and their respective agents will not be responsible in any way against theft, fire, or accident.
